Exhibit Space Overview

Exhibitor tables will be in the Grand Ballroom Pre-function area on level five, adjacent to sessions. You may bring a small pop-up banner (no larger than 6’ W x 8’ H), branded tablecloth, and giveaways. Important: You must transport your items to your exhibit space on your own or ship them directly to the venue’s onsite FedEx per the detailed instructions below under ‘Shipping.’

Included with each tabletop exhibit:

  • One (1) 6-foot black draped table
  • Two (2) chairs
  • Conference WiFi and electrical access

Tabletop Hours

Tabletop exhibits will be open throughout the conference, Wednesday through Friday. Peak traffic occurs during the breaks, just before and after sessions, and toward the latter half of the luncheon. Please refer to the program for the complete schedule.

Internet and Electrical

USENIX provides free WiFi to all attendees and exhibitors. If you need a hardwired ethernet line, please email sponsorship@usenix.org for more information. Tabletop exhibitors will have access to electrical equipment near their tabletop. Bring your own cables, as needed, for your devices.

Monitors for your exhibit are optional—order through Show Imaging by Thursday, August 1.

Lead Retrieval

Exhibitors can buy lead retrieval licenses via the Cvent exhibitor portal. Leads are gathered with the Cvent LeadCapture app, downloadable to your own devices from the Apple App Store or Google Play. Your sponsorship's admin can log into Cvent to purchase and assign licenses to registered staff.

Here are instructions on how to use the app. Please share this information in advance with your onsite exhibiting staff and ensure staff with lead retrieval are added in Cvent to the event.

Shipping

Venue Shipping rules

  1. Use the recipient's name who will be onsite to receive and sign for the package(s).
  2. Exhibitors must retrieve packages and pay applicable handling fees at the on-site FedEx office.
  3. FedEx office hours are Monday through Friday from 8:00 am–6:00 pm.
  4. You will be responsible for retrieving and transporting your packages to your tabletop exhibit.
  5. Packages sent to the venue’s FedEx office cannot arrive before August 10.
  6. USENIX Security is not using a drayage company.
  7. We recommend ensuring you have carefully reviewed the venue’s shipping instructions.

Please schedule your shipment(s) to arrive four days prior to the event start date to avoid additional storage fees. Use the recipient's name who will be on-site to receive and sign for the package(s) and ensure you have formatted the label as indicated on this flyer. Packages sent to the venue’s FedEx office cannot arrive before August 10. Packages that arrive on or after August 10 will be held for you to collect when you arrive. Please plan to collect your packages on Tuesday, August 13, before 6:00 pm (when FedEx closes) or on Wednesday morning when they open at 8:00 am.

On-Site Package Delivery

In most cases, the FedEx Office will complete delivery or pickup of packages within the conference and meeting rooms, lobby area, and guest suites, but please consult with a FedEx Office team member for specific delivery limitations that may exist.

We recommend ensuring you have carefully reviewed the venue’s shipping instructions. There may be additional handling fees depending on your particular shipment details. Hold on to your boxes in case you need to return items. Refer to the outbound section below for more information on return shipments. USENIX does not have the capacity to store pallets or excessive boxes, so plan accordingly when shipping.

Outbound Shipping

Please refer to the FedEx shipping flyer for labeling, handling, and shipping instructions. Bring prepaid and pre-printed shipping labels, too, and be sure not to leave packages behind at your exhibit, which causes our small onsite team staff time in an attempt to clean up. Please be sure to leave the area as you found it.

Overnight Security

Tables are located in a public space. You may take items back to your room if staying at or near the venue, or you can coordinate with a USENIX staff member onsite to store valuables in our onsite office on Wednesday and Thursday nights. Space is limited, and we will do our best to accommodate timely requests. Please make requests with a USENIX staff member before 4:00 pm each day.

Exhibitor-only Registration

Exhibitor-only badges are required for those staffing a table and are separate from conference passes or any sponsor passes that may be part of your sponsorship.

Anyone registered to attend sessions (i.e., a full conference pass) may double as an exhibitor and do not need to register as an exhibitor.

USENIX will email your lead the instructions and link to register table-only staff.
