What To Expect
SREcon is an attendee-centered conference, and not a trade show with an expo hall. Most traffic is expected during the breaks, the second half of the luncheons, and during the evening happy hour. We value quality interactions over quantity. Please keep this in mind as you plan your presence so you can get the most value from interactions.
We encourage you to host giveaways at your booth and post about job openings in the sponsor Slack channel.
Off-site events: If you’re hosting an off-site event, please do not schedule it to overlap with the official program, which includes the evening track, receptions, and Lightning Talks track. Do not post or otherwise promote this during the conference by placing flyers or postcards beyond your booth.
Exhibit spaces: Exhibits will be located off the Grand Foyer in Grand Crescent (Bronze and Copper) and Fifth Avenue (Silver and higher). All levels except Copper include an unbranded stretch-fabric backwall, a locking counter with a front panel graphic (company logo) included, chair (s) or stool(s), a 500-watt electrical drop, and conference wireless network access. You are responsible for purchasing optional graphics, renting a monitor, securing dedicated internet (if desired), and any other customizations with our partners listed below.
For optional purchase
- Show Imaging: Monitor rental
- Encore: Electrical (additional, or custom placement)
- Encore: Dedicated internet connection (recommended if running demos during peak demand)
- Fern: Graphics and further exhibit customizations.
Exhibitor Setup and Teardown
Setup: Fern Expo will have an exhibitor services desk to answer your questions during setup hours. They will also place your shipments at your booth before the show opens on Tuesday morning. If you have empty containers that require storage for the duration of the show, please visit the Fern Exhibitor Service Desk during setup to pick up the "Empty" stickers.
Teardown: Fern Expo will be available during teardown. Coordinate with them directly for your outbound shipping needs.
Setup and Teardown Schedule (Tentative)
- Monday, March 23: 4:00 pm–5:00 pm: Exhibitor move-in (optional)
- Tuesday, March 24: 8:00 am–10:00 am: Exhibitor move-in (required)
- Thursday, March 26: 2:30 pm–4:00 pm: Exhibitor move-out
Booth Details
Bronze, Silver, and Gold booths are required to select a package before you can submit your print-ready artwork. Please refer to the Fern exhibitor online portal, OneView, for further details.
If you choose to upgrade your exhibit, you may do so at your cost, and those upgrades will replace the default inclusions listed below. Monitors are not included, but can be rented through Show Imaging for an additional cost.
- 500-watt power drop in the back of the booth
- Access to the conference wireless network
- Counter with front panel graphic (white background with your logo only)
- SEG Stretch fabric backwall, unbranded
Please note you may not exceed your booth’s footprint or block the line of sight to neighboring booths. This includes pop-up banners, chairs, tables, displayed giveaways, empty boxes, trash, etc.
Graphics
Submit your print-ready files directly through the Fern OneView online portal. Do not send your files to USENIX. The artwork dimensions and the upload link are in the Fern exhibitor kit after you select your package.
Each Bronze, Silver, and Gold exhibit includes an unbranded back wall and a locking counter with your logo on the counter’s front panel only. You may submit custom artwork to Fern for your back wall or counter; however, this is considered an upgrade at your cost. If you are a Copper exhibitor, you may bring a tablecloth, runner, and/or pull-up banner (not to exceed your footprint). Likewise, you may also purchase enhancements through Fern Expo at additional cost.
Submit your artwork to Fern Expo by Monday, February 16, or sooner. Submissions must be received by Monday, February 23 at the latest. Consult with Fern Expo if you are unable to meet this deadline.
Internet
Exhibits include free access to the conference WiFi network. Network ID and passcode will be printed on your badge. Our attendees and exhibitors can access this network, and we can’t guarantee a seamless connection. You may order a hardwired or dedicated connection from the venue’s provider, Encore, by visiting their order portal.
Electrical
All booths include a 500-watt electric drop at the back of the booth. If you would like to order additional power, customize the location, or add a power strip to plug in multiple devices, please visit the Encore order portal.
Monitor Rental
Monitors can be rented through Show Imaging via their online form, which will be available soon. Orders must be placed by Tuesday, March 10.
Lead Retrieval
Exhibitors can purchase optional lead retrieval via Cvent’s LeadCapture app, which is downloadable to your own device in the Apple App Store, or Google Play Store. We strongly suggest placing your order and downloading the app before the conference. You can find helpful hints on Cvent's Community Forum.
Shipping and Hand-carrying
The Westin Seattle is a union property. Do not plan to carry items beyond “one trip/one handful,” to avoid being charged a fee by the venue.
No direct-to-venue shipments are allowed. Please ship via the Fern advanced warehouse. All inbound shipments and freight must be shipped to the advance warehouse and checked in by the warehouse crew by Thursday, March 19, by 3:30 pm PDT.
Shipping out: Anyone who needs help during the dismantling will be served at the Exhibitor Services desk on the show floor. Please coordinate with Fern Expo in advance or on-site if you require assistance.
Registration
Conference Passes and Exhibitor Badges
USENIX will email your main point of contact the discount code(s) to access any free conference passes included in your agreement for sessions (passes) and exhibiting staff (badges). Conference passes reserve a seat in sessions. Anyone from your company who has registered for a full conference pass may also help as booth staff.
Good To Know
Exhibitor Insurance (Recommended)
All exhibitors are recommended to carry general liability coverage with a minimum policy limit of $1,000,000 per occurrence and $2,000,000 aggregate, with USENIX named as an additional insured. If your current policy does not provide this or you wish to purchase separate insurance, Rain Protection Insurance can provide this coverage.
- Rain Protection coverage form
Good Neighbor Policy
Please do not use a microphone or loudspeaker at your booth. If you are hosting a giveaway, please coordinate the timing with USENIX to avoid conflicts with official activities such as sponsored lunches or the conference happy hour.
